E-mail Broadcast
An e-mail broadcast is an inexpensive way to pass information to a large number of people. Before we can send our E-mail Broadcast we have to have the following preparations done.

Radio Buttons
- Account: Select this radio button to retrieve the emails from the account level.
- Account/Contact: Select this radio button to retrieve the emails from the account / contact level.
- Contact: Select this radio button to retrieve the emails from the contact level.
Push Buttons
- Compose Email: Select this button to open your email client to send an email.
- Send Email: Press this button to open the Send Email dialog which allows you to attach a template to your email and also generate and activity in Wintouch.
- Open: Highlight one of the records and press this button to open the related summary window.
- Refresh: Select this button to refresh to window.
- Customize: This button allow you to open the Customize Table Tools window where you can customize which fields will be displayed in the Email Broadcast window.
- Print: Select this button to print the records displayed in the Email Broadcast window to a printer of a PDF.
Drop Down Field
- Select a Group: select this radio button to retrieve the emails from the account level.
Preparing to send your E-mail Broadcast
- We must know to which group we are sending the e-mail Click here to learn how to create the group for your E-mail Broadcast.
- We must know which Wintouch fields we will need in our e-mail body.
- We must know to which level we will be sending our E-mail Broadcast.
- Account-Contact: This selection will list the e-mail addresses stored in the Account-Contact Profile or the Account Profile. The Account-Contact Profile e-mail is usually denoted as E-mail Address or Office E-mail The Account Profile e-mail address is usually denoted as Account E-mail Address.
- Account: This e-mail is stored in the Account Profile, which is typically Account E-mail
- Contact: This e-mail is stored in the Personal Profile, which is typically Personal E-mail Address or Home E-mail
- We must know which E-mail Template we will be using in the E-mail Broadcast. This template can be constructed in the Wintouch Template Builder. Go to Options - Create Templates in the Main menu bar. Click Here to learn more about the Template Builder.
- System Admin: There must be Default Server Settings for Outgoing Mail Server under Options - Preferences - Default Server Settings tab to send the E-mail Broadcast.
After we have created or selected a group, and we know to which level to send our E-mail Broadcast, and have decided on which template we would like to use, we can now send our E-mail Broadcast.
Sending your E-mail Broadcast
- From the Main Desktop menu select Options , then E-mail Broadcast from the drop-down menu.
- Select either the Account , Account / Contact , or Contact level.
- From the Select a Group drop-down box in the E-mail Broadcast window, select the group to which you wish to send your E-mail Broadcast.
Note: Right click on any row or rows that you do not want included in the E-mail Broadcast and select Remove Rows . When you are ready select the Send E-mail button. You can remove multiple rows by holding down the Ctrl key while clicking on individual rows, or holding down the Shift key while dragging the mouse across the rows.
- When you are prepared to send your e-mail broadcast press the Send E-mail button. You many also go straight to your email client by selecting the Compose Email button.
- In the Send E-mail window review the following options before you complete the e-mail broadcast. After you have done so press the Send button.
- Select your E-mail Subject. If you would like to add a Wintouch field to the E-mail Subject, then select that field from the Add Field drop-down list. Make sure there are spaces between the Wintouch field and the other text you have placed in the E-mail Subject.
- Add any attachments by clicking on the paper clip icon.
- Select the User you would like to record this E-mail Blast for.
- If you are completing an activity for this blast, then select the Category, Regarding, and Result for this e-mail blast.
- If you would like to save the notes from E-mail Blast, then enable the "Save E-mail Body in Notes" check box.
- Select the template you have already created in the template editor for this e-mail
- Wait for the completion notification and press OK.
